How to follow up every open deal with Claude and HubSpot

Updated October 29, 2026 · from lesson 19 of the course

Deals go quiet when nobody owns the next step. One request to Claude can give every open deal in HubSpot a drafted follow-up and a dated task.

What you need

The prompt

Go through our open deals in HubSpot. For each one, draft a short follow-up email here and create a follow-up task in HubSpot due before the close date. Don't send anything.

What Claude does

  1. Reads each open deal: stage, value, contact and close date.
  2. Creates a follow-up task a few days before each close date, and marks the most valuable or urgent ones high priority.
  3. Drafts an email that fits the deal's stage, for example a nudge to sign a contract, or preparation for a presentation.
  4. Reports what it created, and confirms that nothing was sent.

Example

In the course, the demo bakery has five open deals worth between $211 a week and $2,000. Claude created five tasks in HubSpot, each linked to the right contact, and flagged the $2,000 hotel deal and a wedding contract as high priority.

Tasks are safe to automate. Emails aren't. Let Claude create the tasks, and read every draft before it goes out.

Make it a habit

Run the same prompt every Monday, or turn it into a scheduled task in Claude so the drafts are waiting for you.
